The Scottish SPCA make thousands of visits to schools and community groups and present to over 250,000 children each year as part of their education programme.
We developed a bespoke CRM system to manage the process of contacting the hundreds of schools and eligible groups in Scotland, make bookings and allocate those bookings to the appropriate Scottish SPCA staff.
Our new database allows us to manage a booking system whereby school visits can be allocated to an infinite number of staff, the bookings can be tracked, all correspondence with schools can be recorded and full reports can be run at click of a button!
The CRM system is entirely web based and allows secure access to authorised Scottish SPCA staff through a standard browser or if they are on the road their Blackberry.
The CRM system we developed
- holds records for all schools and community groups in each local authority
- allows multiple contacts per school/group
- records and manages all contact correspondence
- creates bookings for education visits and automatically confirms these with relevant contact
- manages booking changes
- automatically notifies relevant staff of new bookings or changed bookings
- allocates bookings to relevant staff
- tracks bookings through to completion of visit feedback sheets
- provies individual diary views of all bookings for every staff member
